AI-Assisted Quotations: Prepare Data, Pilot and Review

Pilot AI-assisted quoting in limited categories with repeat inquiries, structured inputs and explainable costing rules. Review drafts against historical and parallel quotes. People must verify current costs and fulfillment conditions; sales and profit gains are not guaranteed.

Select orders suitable for piloting from repeated inquiries

After receiving drawings, specifications or inquiry materials, quotation personnel often need to find similar orders first, and then check the materials, processes and cost definition. AI-assisted quotation can start from data extraction, similar order retrieval, cost element prompts and missing information identification to help form a quotation draft. It is suitable for handling repeatable work that can be explained, and the process feasibility and business risks are still judged by the corresponding personnel.

The pilot will give priority to duplicate parts families with stable data structures and traceable historical quotations and order results. Similar records can help locate candidate processes and cost items, but similar appearance does not mean that the processing requirements are the same; inquiries that encounter special material requirements, missing key specifications, or significantly different process routes should be transferred to manual evaluation.

If the names of similar materials are inconsistent, the quotation basis cannot be found, or the historical records cannot correspond to actual orders, it is more appropriate to manage the data first. Otherwise, even if AI successfully generates a draft, engineers will have to re-trace the basis, and it will be difficult for the pilot to determine whether the problem comes from data, rules or model processing.

Organize quotation records into data that can be traced

The goal of data preparation is to let the quoter know what each recommendation is based on, rather than having all the old documents piled together. Based on the selected category, the inquiry information, quotation, process, material and order results are associated; fields with the same name and different synonyms are first unified, and expired rules retain status descriptions to avoid being regarded as the current basis.

When spot-checking history, check for discrepancies along the lines of the original inquiry, quotation description, and order results. If it is found that the quotation is inconsistent with subsequent execution, the specific reasons should be recorded; samples with unclear explanations cannot be used as a reliable reference for the time being. The transaction price without traceability basis should not be directly interpreted as a reasonable cost.

  • Original Inquiry: Keep the drawings, specifications and supplementary instructions, and clarify the information corresponding to the draft.
  • Material definition: Unify names and related status requirements so that search results can correspond to actual needs.
  • Process basis: associate the confirmed routes and constraints, and retain the source of engineering judgment.
  • Quotation records: Organize cost items, applicable assumptions and approval instructions, and distinguish between cost estimates and business adjustments.
  • Order feedback: Connect execution results and identified deviation causes to check whether historical recommendations are applicable.
  • Rules and Permissions: Indicate effective rules, accessible data range and approval responsibilities to avoid unauthorized access or transmission.

Through the relationship between document cards and filing separation slots, the tasks of organizing and categorizing quotation data are explained.

Use historical replay to find out where the draft needs revision

Historical playback is to re-handle the inquiry data received in the past to AI for processing, and then compare it with the manual quotation process and verified results at that time. The input should be limited to the information that can be obtained at the time of quotation, and the subsequent order results should not be mixed into the data; otherwise, the seemingly accurate suggestions may just be the answers seen in advance.

When using blind testing, engineers can make independent judgments first and then review the AI draft. What is compared is not just the final price, but also whether the specifications are extracted correctly, whether key missing items are prompted, whether the cost basis can be traced, and what changes the engineer has made. Only by assigning errors to specific links can you decide to adjust fields, supplement rules, or narrow the scope of applicable orders.

If the draft misses information that affects processing or business conditions, even if the quotation is close to the manual result, it should be repaired and tried again. Conversely, when there is a clear basis for price differences, it should be checked whether different assumptions were used in the artificial baseline to avoid classifying all differences as AI errors.

Parallel quoting, leaving review and dispatch responsibilities in human hands

After the playback can explain the main differences, it is then run in parallel within the limited order range: the existing manual quotation is carried out as usual, and the AI generates an independent draft for comparison. Record the time spent in each link of data compilation, calculation and review, and observe whether the work saved is offset by tracing the basis or repeated revisions.

Engineers review whether the materials match key parameters, whether the recommended process can be executed, whether any cost items are missing, and whether the missing items marked by AI really affect the quotation. Real-time material prices, equipment loads and estimated delivery capabilities need to be supported by current information, and business personnel will then check the business conditions. When the information is insufficient, ask the inquiry party for additional information or handle it according to the current rules, and do not allow the model to complete it on its own.

Set the boundaries of authority in actual actions: data access only covers the approved scope, drafts are separated from formal quotations, and existing approval responsibilities are retained for external sending. If there is a rule conflict, key parameters cannot be identified, or abnormal quotation based on invalid or unexplainable conditions, the auxiliary output of the order will be suspended and transferred to manual work; the problem will be recorded before determining whether the scope of inspection needs to be expanded.

The same data entry is connected to side-by-side draft trays, and a review mirror is placed independently in front of it, which is a wordless process concept diagram.
Use common input and separate draft trays to represent parallel quote comparisons, as a reminder that results need to be reviewed rather than sent automatically.

Use indicators to decide whether to continue, add data, or suspend

The effectiveness evaluation should also look at the data extraction accuracy rate, missing item discovery rate, engineer revision range, quotation cycle, gross profit deviation and abnormal interception rate. Before starting, clarify the definition of each indicator: for example, which fields are considered key missing items, whether the revision changes the process judgment, and whether the timing includes review. Gross profit deviations have a basis for explanation only when the relevant costs and order results can be verified, and unverified forecasts are not regarded as operating results.

Compare the pilot to a manual baseline of the same category, data completeness, and quote responsibilities. If the scope of application or review intensity changes, it should be analyzed separately to avoid counting changes caused by simpler orders as AI benefits. Take the following actions based on the location of the problem, and continue to check whether the exception is discovered and taken over.

observed conditions Business judgment and follow-up actions
The basis of the draft is clear, important deficiencies can be discovered, risk management can be implemented, and the overall workload has been improved. Continue to limit the scope of the pilot; add samples of new working conditions before expansion, and maintain engineering and business approvals.
Errors focus on material names, missing fields, or historical record associations After completing the data and rules, playback again, and the applicable orders will not be expanded for the time being.
Process judgment is difficult to explain, key anomalies are repeatedly missed, or the burden of review offsets the value of data processing Suspend the automatic generation of quotation suggestions, retain the proven and available collation functions, and re-evaluate applicable scenarios.

Prepare real information and then decide on the boundaries of the pilot

Prepare original inquiry data, traceable quotations and process records, order feedback, effective cost rules, and current access and approval requirements for the part families to be piloted. Then we sorted out the most common missing items, reasons for rework, and manual time-consuming records in current quotations, and allowed the pilot to set observation points around real difficulties.

After obtaining this information, we can determine which orders are suitable for playback first, where data must be supplemented, which exceptions need to be handled by engineers, and the evaluation criteria for parallel pilots can be determined. AI will not automatically guarantee correct costs or transaction results; only after explainable suggestions and controllable risks have been verified can we have a basis for discussing efficiency gains.

Common Problems

If there are no similar orders for non-standard parts, can I still use AI assistance?

You can consider data organization and missing item prompts first, rather than rushing to generate price suggestions. If a key process needs to be re-demonstrated, the lack of comparable historical samples will limit the value of the search. Engineers should establish a basis for judgment on the current order before deciding whether to include it in the pilot.

With only historical quotations and no reliable actual costs, what can we evaluate?

It can still be observed whether the extraction is correct, whether omissions can be discovered, and whether engineer modifications are reduced. Cost accuracy and gross profit performance need to be supported by verifiable cost data. It cannot be inferred that the target has been met just because the quotation and transaction price are close.

Does the pilot need to open all customer information to AI?

No need. Configure the access scope according to the information required for the current task, and follow the enterprise authorization requirements for sensitive business terms and customer information. If the necessary basis cannot be provided after restricting access, narrow the scope of auxiliary tasks instead of bypassing permissions to complete the information.

Can One Successful Part Family Cover Every Inquiry?

New orders may change material status, process limitations, or information completeness, thereby changing the applicability of the original reference. Before expansion, you should check whether these differences are supported by explanations and samples; when the gap is large, manual quotation will continue, and partial pilot results cannot be regarded as full-scenario capabilities.
